Essixx HRM ("Essixx," "we," "us," or "our") operates the Essixx HRM mobile application and web platform (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.
1. Information we collect
Information you provide
- Account details: name, email, phone number, job title, and employer organization
- HR and employment data entered by you or your employer (attendance, leave, payroll-related fields, documents)
- Support communications and feedback you send to us
Information collected automatically
- Device information: device model, operating system, unique device identifiers, and app version
- Usage data: features used, session duration, crash logs, and performance metrics
- Location data: only when you enable geo-fenced attendance or similar features (with your permission)
2. How we use your information
- Provide, operate, and maintain the Service
- Process payroll, attendance, leave, recruitment, and other HR workflows on behalf of your organization
- Authenticate users and enforce role-based access
- Send transactional notifications (e.g., leave approvals, payslip availability)
- Improve the Service, fix bugs, and develop new features
- Comply with legal obligations and respond to lawful requests
3. Legal basis (where applicable)
We process personal data based on: performance of a contract with your employer, legitimate interests in operating a secure HR platform, your consent (where required, e.g., location), and legal obligations.
4. Sharing of information
We do not sell your personal information. We may share data with:
- Your employer — administrators authorized to manage HR data for your organization
- Service providers — cloud hosting, analytics, email delivery, and payment processors under strict data-processing agreements
- Legal authorities — when required by law or to protect rights, safety, and security
5. Data retention
We retain personal data for as long as your account is active or as needed to provide the Service to your employer. After account deletion, we delete or anonymize personal data within 30 days, except where retention is required by law (e.g., tax or payroll records), in which case data is kept only as long as legally necessary.
6. Security
We use industry-standard measures including encryption in transit (TLS), access controls, audit logging, and regular security reviews. No method of transmission over the Internet is 100% secure; we cannot guarantee absolute security.
7. Your rights

8. Children's privacy
The Service is intended for workplace use and is not directed to individuals under 16. We do not knowingly collect data from children.
9. International transfers
Your data may be processed in countries other than your own. We implement appropriate safeguards (such as standard contractual clauses) where required.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the "Last updated" date. Material changes may be notified via the app or email.
